Getting Started

Logging In

Open the app and enter the email and password provided to you by the APX admin. Click Sign In. If you have trouble logging in, contact your administrator.

Your account is created by the admin. You cannot self-register. If you need a password reset, contact the admin directly.

Navigating the App

The navigation bar runs along the top of the screen. Click any tab to switch pages. The tabs you see depend on your role (see Section 2). The app remembers which page you are on within your session.

Your name and role appear in the top right corner. Click Logout to sign out.

What You See on First Login

Everyone lands on the Dashboard first. From here you can see deal statistics, recent activity, and (if you have AI access) proactive AI insights about your pipeline.

User Roles

There are three roles in the app. Your role determines which pages and features you can access.

Brokers cannot see other brokers' deals, the pipeline, or internal notes.

Dashboard

Go to Dashboard

KPI Cards

Five cards at the top show your key metrics:

  • Total Deals — all deals in the system
  • Active Pipeline — deals not yet closed
  • AI Screened — deals that have been screened by AI
  • Closed Deals — deals that reached the Closed stage
  • Pass Rate — percentage of closed deals marked "Passed"
Brokers see only their own deal metrics. Team and Admin see all deals.

Proactive AI Insights

Below the KPIs, four colored insight cards appear (team/admin with AI access only):

  • Stalled Deals (7d+) — deals with no movement for 7+ days
  • High Risk (7+/10) — deals with AI risk score of 7 or higher
  • Unscreened Incoming — new deals not yet screened by AI
  • Ready to Advance — deals with opportunity score of 7+

Click any insight card to get a detailed AI analysis of those specific deals.

AI Intelligence Panel

The left panel offers 6 quick AI actions and 4 preset questions. You can also type a custom question in the text field.

Clicking any button opens an AI Analysis modal on the current page. The AI reads your live deal data and responds.

Daily Briefing

Click Generate Daily Briefing to get a full executive summary of your pipeline. The briefing covers priority actions, pipeline health, risk alerts, opportunities, and a weekly forecast.

Use the Daily Briefing once per day at the start of your work session. It gives you everything you need to prioritize your day in one call.

Recent Activity Feed

The bottom section shows recent actions across the team: deal submissions, stage changes, notes, AI screenings, and more. This updates in real time.

Submit a Deal

How to Submit a New Deal

  1. Click Submit Deal in the navigation bar (or the "New Deal" button on the Dashboard).
  2. Fill in the Deal Name (required). Give it a clear, descriptive name.
  3. Select the Deal Type: Investment, Advisory, Token/Coin Minting, Joint Venture, or Other.
  4. Optionally fill in Currency, Revenue, Valuation, Ask Amount, and Tags. The more data you provide, the better the AI can analyze the deal.
  5. Write a Description / Executive Summary. This is the most important field for AI screening.
  6. Upload any supporting Documents (drag and drop or click to browse). Accepted: PDF, DOCX, XLSX, PPTX, CSV, TXT. Max 10MB per file.
  7. Click Submit Deal. The deal enters the pipeline at the "Incoming" stage.

AI Help for Descriptions

Click the AI Help button next to the description field. The AI will generate a structured description template based on your selected deal type. Fill in the blanks to create a thorough deal summary.

A detailed description dramatically improves AI screening quality. Include: business overview, financials, deal rationale, and any known risks.

Reset Form

Click Reset to clear all fields and start over. This does not delete any submitted deals.

Kanban Board

The Pipeline page shows all active deals as cards organized into 6 columns (stages). Each column has a count badge showing how many deals are in that stage.

1. Incoming New deals just submitted. Start here.
2. AI Screening Deals being reviewed by the AI system.
3. Partner Review Under review by APX partners.
4. Due Diligence Active due diligence in progress.
5. Term Sheet Term sheet stage, negotiation underway.
6. Closed Deal concluded (Won, Passed, or Dead).

Moving Deals Between Stages

Click on a deal card to open its detail page. From there, click Change Stage to advance or move the deal to any stage. When moving to "Closed", you must select an outcome (Won, Passed, or Dead) and can add a note.

Pipeline AI Panel

Above the kanban board, the AI panel offers:

  • Score All Deals — get AI scores for all pipeline deals
  • Bottleneck Analysis — identify where deals are getting stuck
  • Win Probability — AI prediction on deal outcomes
  • Stage Recommendations — which deals should move and where

Deals Table

A full table of every deal in the system. Columns: Deal Name, Type, Broker, Stage, AI Score, Recommendation, Submitted date, and Actions.

Click any deal name to open its detail page.

Filters and Search

  • Search box — search by deal name, broker name, or deal type
  • Stage filter — filter by pipeline stage (Incoming, AI Screening, etc.)
  • Type filter — filter by deal type (Investment, Advisory, etc.)
  • Recommendation filter — filter by AI recommendation (Proceed, Caution, Pass)

Filters combine. Set Stage to "Due Diligence" and Type to "Investment" to see only investment deals in DD.

Deals AI Panel

Quick actions: Deal Comparison Matrix, Trend Analysis, Portfolio Risk Assessment, Screening Summary.

Presets: Longest stalled deals, Investment vs advisory comparison, Average time to close, Deals needing immediate attention.

My Deals (Brokers)

Broker role only. Team and Admin use "All Deals" instead.

Tracking Your Submissions

This page shows only the deals you have submitted. You can see each deal's current stage, type, submission date, and last update.

Click a deal name to see its full detail (description, documents, stage history). Brokers can see the stage history and decision outcome, but not internal team notes or AI screening details.

Deal Detail Page

Opening a Deal

Click any deal name from the Dashboard, Pipeline, All Deals, My Deals, or Catalog page. The detail page shows everything about that deal.

Deal Header

At the top: deal name, type badge, broker name, current stage badge. Team members see a Change Stage button and a Run AI Screening button.

AI Screening Results (Team Only)

After running AI Screening, you see a structured analysis:

  • Recommendation — PROCEED (green), CAUTION (yellow), or PASS (red)
  • Risk Score (1-10) — higher means riskier
  • Opportunity Score (1-10) — higher means more promising
  • Executive Summary — AI overview of the deal
  • Key Findings, Red Flags, Strengths, Missing Information
Run AI Screening once per deal. The result is saved permanently and does not need to be run again. Running it a second time will overwrite the previous result and costs another API call.

Internal Notes (Team Only)

Team members can add private notes to any deal. Notes include the author name and timestamp. Brokers cannot see these notes.

Use notes for: partner feedback, DD findings, follow-up items, meeting outcomes.

Ask AI About This Deal

In the sidebar, the "Ask AI" card lets you ask questions about the specific deal. Four quick buttons:

  • Summarize — get a quick deal summary
  • Risks — identify key risks
  • Memo — generate a deal memo
  • DD Items — list due diligence items to investigate

You can also type any custom question. The AI will respond using the deal's full context (description, financials, screening results, notes).

Documents and Drive Files

Documents uploaded at submission time appear in the Documents card. If the deal has a linked Google Drive folder, Drive files also appear with direct links.

Team members can upload additional files directly to the deal's Drive folder from this page.

Stage History

A timeline showing every stage the deal has passed through, with dates. Completed stages show green checkmarks. The current stage shows a blue circle.

Changing a Deal's Stage

  1. Click Change Stage in the deal header.
  2. Select the target stage from the dropdown.
  3. If closing: select the outcome (Won, Passed, or Dead).
  4. Optionally add a note explaining the change.
  5. Click Confirm. The deal moves immediately and all views update.

Catalog

Deal Archive

The Catalog is a searchable archive of all deals. Use it for historical analysis, reporting, and exporting data.

Filters: Search by name/broker/tags, filter by type, filter by outcome (Won, Passed, Dead, Active).

Export: Click Export CSV to download the filtered results as a spreadsheet file.

Catalog AI Panel

Quick actions: Historical Analysis, Market Trends, Broker Scorecard, Win/Loss Analysis.

Presets: Best performing deal types, Highest quality brokers, Pass rate by category, Average deal size by type.

AI Assistant

Go to AI Assistant

Team and Admin only. Requires AI access to be enabled by an admin.

Chat Tab

The primary interface for talking to the AI. Type any question about your deals, pipeline, or strategy and the AI will respond using your live deal data.

Context Selector (top right): Choose "All Deals Context" to give the AI your full pipeline, or select a specific deal for focused analysis.

Model Selector: Choose between Sonnet (faster, cheaper) and Opus (more advanced reasoning). Sonnet is the default and handles most tasks well.

AI Best Practices (Saving API Credits)

Why This Matters

Every AI interaction uses API credits. Each call costs money. The more text you send and receive, the higher the cost. These practices help you get maximum value while minimizing unnecessary spend.

Do

  • Use preset buttons and templates instead of writing long prompts from scratch. They are optimized for concise, effective queries.
  • Use the context selector on the AI page. Selecting a specific deal sends only that deal's data, not the entire pipeline. Smaller context = lower cost.
  • Run the Daily Briefing once per day, at the start of your session. Do not run it multiple times for the same data.
  • Use Sonnet (Fast) for most tasks. It handles 95% of queries. Switch to Opus only for complex reasoning or nuanced analysis.
  • Fill in deal descriptions thoroughly before screening. A good description gives the AI what it needs in one pass. A weak description leads to follow-up questions (more calls).
  • Run AI Screening once per deal. The result is saved. You do not need to re-screen unless the deal information has fundamentally changed.
  • Ask specific questions. "What are the top 3 risks for deal X?" costs the same as "Tell me about deal X" but gives you much more useful output.
  • Use the page-level AI panels for quick answers. They are cheaper than the full AI Assistant because they send only that page's context.
  • Export and save useful responses. If the AI gives you a great memo or report, export it instead of asking it to regenerate later.

Don't

  • Don't ask the same question twice. If you already got an answer, scroll up or check exports.
  • Don't use "All Deals Context" when asking about a single deal. Select the specific deal in the context dropdown.
  • Don't use Opus for simple queries. Opus costs significantly more than Sonnet. Use it only when Sonnet's answer is not good enough.
  • Don't re-screen deals without new information. The screening is saved and visible on the deal detail page permanently.
  • Don't type long paragraphs as prompts. Be direct: "Score deal X" is better than "Can you please analyze and provide me with a comprehensive scoring of the deal named X including all relevant factors."
  • Don't generate reports for data you can see on screen. If you can read the table, you do not need AI to summarize it for you.
  • Don't clear chat and restart conversations. The chat history provides context that makes follow-up questions cheaper. Clearing it means the AI starts from zero.
  • Don't run all 10 report templates at once. Pick the one you need.

Recommended AI Workflow

  1. Start your day: go to Dashboard, click Daily Briefing (1 call).
  2. Review the proactive insight cards. Click only the ones with non-zero counts (0-4 calls).
  3. For new incoming deals: open each deal, click Run AI Screening (1 call per deal).
  4. For deal-specific questions: use the deal detail "Ask AI" panel with the specific deal context.
  5. For weekly reporting: use the AI Reports tab, pick one report type.
  6. For ad-hoc questions: use the page-level AI panels first. Only go to the full AI Assistant if you need a multi-turn conversation.

Google Drive

Go to Drive

Team and Admin only.

Overview

The Drive page connects to the shared APX Google Drive folder. Browse folders, upload files, create folders, search, and manage deal documents all from within the app.

Creating Deal Folders

From a deal detail page, you can create a dedicated Drive folder with pre-built subfolders: Documents, Legal, Financials, Presentations. This keeps deal files organized automatically.

Uploading Files

  1. Click Upload File in the Drive page header.
  2. Drag files into the upload zone, or click to browse.
  3. Maximum 10MB per file.
  4. Click Upload to send to Google Drive.

You can also upload files directly from a deal's detail page using the "Upload to Drive" button.

Searching Files

Use the search bar to find files by name across all folders. Press Enter or click Search.

Navigation

The breadcrumb bar at the top shows your current location. Click any breadcrumb segment to jump back to that folder. Click a folder in the file grid to open it.

Drive AI Panel

Quick actions: Document Inventory, File Organization, DD Document Checklist.

Presets: Missing critical documents, File naming convention, Documents for next DD review.

Scheduling Meetings

The Booking page embeds the APX booking system. Use it to schedule meetings, deal reviews, and consultations. All users (including brokers) can access this page.

Meeting AI Panel

Quick actions: Meeting Prep, Follow-Up Generator, Agenda Builder.

Use these before meetings to prepare talking points, after meetings to capture action items, or for scheduling pipeline review sessions.

Active Users Monitor

See who is currently logged in, what page they are on, and when they were last active. User presence updates in real time.

Activity Log

A timestamped log of all user actions: logins, page visits, deal views, stage changes, submissions, AI queries. Filter by user using the dropdown above the table.

Go to Settings

Admin only.

User Management

The user table shows all registered accounts with name, email, role, and AI access status.

Adding a User: Click Add User, fill in name, email, role, company, and a temporary password (min 8 characters). The user can log in immediately.

AI Access Toggle: Click the toggle switch next to any user to enable or disable their access to AI features. When disabled, all AI panels, the AI Assistant page, and AI insight cards are hidden for that user.

App Configuration

Default Currency: Sets the default currency (USD, EUR, GBP) displayed across the app. Change it and click Save Settings.

Tips and Shortcuts

Keyboard and Workflow Tips

  • Press Enter in any AI text input to send your question (no need to click the send button).
  • In the AI Assistant chat, type a slash command (e.g., /memo) and press Enter to trigger a template instantly.
  • Use the search bar on the All Deals and Catalog pages to find deals quickly by name, broker, or tags.
  • Click a proactive insight card on the Dashboard to get instant AI analysis of that category.
  • Use Export CSV on the Catalog page to get your deal data into Excel.
  • When multiple deals need screening, go through them one by one from All Deals. Each screening saves permanently.

Recommended Daily Workflow

  1. Morning: Dashboard → check KPIs → Daily Briefing → review insight cards
  2. Incoming deals: All Deals → filter to "Incoming" → open each → Run AI Screening → add notes
  3. Pipeline review: Pipeline page → review kanban → advance deals as decisions are made
  4. Document work: Drive page → upload and organize files per deal
  5. End of week: AI Reports → generate Weekly Digest or Board Report

Common Mistakes to Avoid

  • Do not submit a deal with no description. The AI cannot screen it effectively.
  • Do not forget to change a deal's stage after decisions are made. Stale pipelines create confusion.
  • Do not share your login credentials. Each user has their own account for audit trail purposes.
  • Do not close a deal without selecting an outcome (Won/Passed/Dead). Reporting depends on it.

Frequently Asked Questions

I cannot see the AI Assistant tab. Why?
AI access must be enabled for your account by an admin. Ask your admin to toggle AI access ON in Settings.
I submitted a deal but it does not appear in the Pipeline.
If you are a broker, you can only see your deal in "My Deals." The Pipeline view is for team members and admins. Your deal is there. The team will review it.
Can I edit a deal after submitting it?
Currently, deal editing after submission is handled by the team. If you need to update information, contact the team and they can add notes or update the deal details.
What is the difference between Sonnet and Opus?
Sonnet is the faster, more cost-effective AI model. It handles most questions well. Opus is the more powerful model with deeper reasoning, best for complex analysis. Use Sonnet by default. Switch to Opus only when Sonnet's answer is insufficient.
How do I know if a deal has been AI screened?
On the All Deals table, check the "AI Score" and "Recommendation" columns. If they show a score and recommendation (PROCEED/CAUTION/PASS), the deal has been screened. If blank or "--", it has not.
Can the AI see my uploaded documents?
Currently, the AI reads document metadata (names, types) but not the full content of uploaded files. The AI screening is based on the deal description, financials, and metadata you provide in the submission form. The richer your description, the better the analysis.
Who can see my notes on a deal?
Internal notes are visible to team members and admins only. Brokers cannot see internal notes.
Can I delete a deal?
Only admins can delete deals. If you need a deal removed, contact the admin.
What happens when a deal is closed?
The deal moves to the "Closed" column in the pipeline with an outcome: Won (deal completed), Passed (declined), or Dead (fell through). Closed deals remain in the Catalog for historical analysis and reporting.
Is my data secure?
Yes. The app uses Firebase authentication, encrypted connections (HTTPS), server-side security rules, role-based access control, and has passed a comprehensive security audit. Your data is protected at every layer.
